Administrative Assistant - AAVP Research and Graduate Studies

Provides high-level administrative and operational support to the Associate Academic Vice President for Research and Graduate Studies, coordinating key initiatives and managing BYU’s participation in the Utah Conference on Undergraduate Research (UCUR).

What you will be doing in this position

Project Management:

• Manage all AAVP projects and assignments. Research and compile confidential data and makes recommendations to AAVP to complete projects and/or resolve confidential issues.
• Track and advise AAVP regarding distribution of capital equipment, gift and endowment funds, which are distributed to colleges, departments and/or faculty across the university.
• Review and evaluate financial transactions related to organizations reporting to the AAVP for compliance with policies.
• Prepare purchase requisitions, spend authorizations, expense reports, budget adjustments and journal entries. Approve same for some offices reporting to AAVP.
• Act as BYU liaison to and member of the statewide Utah Conference on Undergraduate Research (UCUR) steering committee. Administers all aspects of the university’s participation with and participation in UCUR (7-month process).
• Administer the organization of the Utah Conference on Undergraduate Research (UCUR) when it is BYU’s turn to host (every seven years, including in 2027).
• Manage the reviews and awarding of the annual Scholarly and Creative Works grants and the Women’s Research initiative grants.
• Administer and manage program budgets and reports for internal university research grants, including IDRs and the Snow, McKay, Widstoe, and Clark Grants.
• Assist AAVP on ad hoc committee assignments, such as Dean Search committees and Faculty Rank and Status Appeal committees.
• Assist with AAVP with space management issues including the remodel and/or construction of academic buildings and research space.
• Support the AAVP on university policy reviews and revisions, external funding agency issues and reporting, etc. compile data and present potential resolutions to AAVP.

Administrative Duties:

• Manage all appointments and meetings for AAVP
• Field all calls to AAVP
• Coordinate travel for AAVP and accompanying parties
• Support professorial activities of AAVP
• Provide administrative support for AAVP in aspects of their faculty appointment
• Prepare materials for and participate in University Research Council meetings
• General office and file management

What qualifies you for this this role

Required:

• College degree OR 5 years high education experience or equivalent combination of education and experience

Preferred:

• College degree and 5+ years higher education work experience

Skills, abilities, knowledge, licenses, certifications:

Required:

• Handle confidential and critical information with discretion
• Firm and tactful, yet friendly manner in working with individuals on and off campus. Ability to diffuse volatile interactions at times
• Serve as a resource for knowledge of university policies, procedures and campus facilities
• Familiarity with University units

Preferred:

• General office computing skills
• Exceptional professional interpersonal skills in conducting the business of the AAVP office in a variety of venues (Church, University, and State)
• Familiarity with University systems (financial, travel, HR, etc.)

Pay Grade:  50

Typical Starting Pay: $25.00-$32.50

The actual compensation offered will take into consideration internal equity and may vary based on the candidate’s job-related experience, knowledge, skills, and other relevant factors. Candidates with very significant work-related experience may receive an offer higher than the posted typical range.
