ORGANIZATION OVERVIEW
The CUNY Office of Career and Industry Partnerships (OCIP) is dedicated to connecting academic pursuits with career preparation. OCIP works closely with industry and the public/nonprofit sectors to understand the skills required for the most in-demand jobs and trains City University of New York (CUNY) students in those skills to prepare them for early and sustained career success.
GENERAL DESCRIPTION
New initiatives will recruit undergraduate students from throughout CUNY who haven’t had substantial paid professional experience but who are ambitious, bright, and ready to practice what they are learning in the classroom in the work world.
Interns enrolled in the program will have the opportunity to build skills, extend their professional networks, add to their resumes, and support employers throughout NYC in several key industries, such as STEM and healthcare. Employers will benefit from CUNY students’ many talents and knowledge. These exciting new initiatives will be coordinated in CUNY’s Central Office of Academic Affairs and implemented at several CUNY colleges.
Four to five college campuses will serve as industry “hubs”. These schools will specialize in internship placements within specific industries. Students will apply to specific hubs and once accepted into the program, apply to jobs within the industry. Each college hub will match students to their designated worksites and manage relationships between the student and employer.
The Data Assistant plays a central role in keeping those systems accurate, accessible, and running smoothly.
ROLE OVERVIEW
We are looking for a detail-oriented, tech-comfortable professional to join the Career Launch team as a Data Assistant. This person will own the day-to-day health of our core data systems - primarily Airtable and InPlace CRM - and serve as a point of contact for staff, students, and partners who need technical support or training. Reporting to the Assistant Director, Data and Evaluation, the ideal candidate is someone who cares about clean data, communicates clearly with non-technical users, and is eager to grow their database skills in a mission-driven environment.
DUTIES & RESPONSIBILITIES
Database Maintenance (40%)
• Perform regular data audits on student- and partner-facing Airtable bases, identifying and resolving inconsistencies before they affect reporting or communications
• Troubleshoot issues across Airtable and InPlace CRM, escalating when needed and documenting solutions for future reference
• Configure and maintain Airtable automations, including email workflows triggered by record updates or form submissions
• Manage and complete data-related projects, including data entry, record cleanup, and schema updates as program needs evolve
Technology Support & Communications (40%)
• Respond to internal support tickets in a timely, clear, and helpful manner
• Manage and respond to the InPlace email inbox, routing inquiries to the appropriate team members
• Train staff, students, and employer partners on how to use Airtable, InPlace, and other program tools — translating technical processes into plain language
Data Collection & Reporting (10%)
• Create, distribute, and manage surveys in Airtable
• Clean and standardize survey data and prepare clear summary reports for program leadership and stakeholders
Other (10%)
• Attend required departmental staff meetings
• Complete other duties as assigned
MINIMUM QUALIFICATIONS
• Currently pursuing or holding a Bachelor's degree
• Strong proficiency with Airtable, including base management, forms, views, and automations - or a clear demonstrated ability to ramp quickly
• Comfortable working with Excel or Google Sheets for data cleanup and reporting
• Excellent written and verbal communication skills, including the ability to explain technical processes to non-technical users
• Strong attention to detail - you catch data inconsistencies and care about getting them right
• Ability to manage multiple tasks in a fast-paced, evolving environment
• Experience with CRM systems or similar database tools
PREFERRED QUALIFICATIONS
• Airtable Builder Certification (or willingness to obtain one within the first 30 days)
• Proficient in Python, SQL, or JavaScript — even at a foundational level
• Experience in education, higher ed, or a nonprofit/public sector environment
• Experience with NYC public sector or grant-funded programs
• Comfortable facilitating group trainings or workshops
• Experience with InPlace or similar student engagement CRM platforms
• Demonstrated use of AI Powered workflows
WORK ENVIROMENT AND PHYSICAL REQUIRMENTS
• Standard work schedule for all staff is 9am-5pm EST Monday - Friday.
• This position currently is a remote (work-from-home) position.
• A laptop and other necessary equipment may be provided to support remote work.
• While performing these duties, the employee may be required to:
• Sit for extended periods
• Use a computer and other office equipment
• Occasionally lift or move items up to 20 pounds

• Ability to travel to other CUNY sites as needed.
