Job Description:
Position Summary
The Entity Data Associate supports the maintenance and accuracy of restricted entity information used within the firm’s ethics, independence, and conflicts monitoring programs. This role is responsible for executing routine entity data management activities within independence monitoring systems and related enterprise platforms.
The Associate performs data entry, validation, and research to support the maintenance of entity records. The role assists in identifying data discrepancies, maintaining documentation, and supporting the firm’s compliance with independence requirements. The Associate works closely with Senior Associates and other team members to ensure entity data is complete, accurate, and aligned with firm standards.
Key Responsibilities
Restricted Entity Data Maintenance
• Enter and update restricted entity information within the firm’s independence monitoring systems.
• Process additions, updates, and removals of entities based on provided information and established procedures.
• Ensure entity records are complete and accurately recorded in accordance with firm policies and service expectations.
• Maintain supporting documentation for entity updates and changes.
Entity Research Support
• Perform basic research on entities using public sources and internal tools.
• Gather information related to entity ownership, structure, and relationships.
• Organize and document research findings for review by Senior Associates.
• Support entity structure analysis performed by senior team members.
Data Quality and Issue Resolution Support
• Review entity data for completeness and consistency based on defined standards.
• Identify missing or inconsistent information and follow up for clarification as needed.
• Assist in performing data quality checks and routine reconciliations across systems.
• Escalate discrepancies, unclear information, or potential data issues to Senior Associates.
Systems and Data Management Support
• Maintain entity data across independence systems and enterprise platforms.
• Assist with updates across integrated systems, including CRM, finance, and other operational platforms, as directed.
• Support system testing, data validation, and implementation activities related to entity data and entity management enhancements as needed.
• Follow established procedures for updates involving global network systems, where applicable.
Independence and Compliance Support
• Support independence compliance processes through accurate and timely data entry and maintenance.
• Assist with responding to entity data inquiries from internal stakeholders.
• Provide supporting data and documentation for independence consultations, internal reviews, or audits.
Process Support and Documentation
• Follow established procedures and controls related to entity data management.
• Maintain documentation and records supporting entity data activities.
• Identify and communicate potential process inefficiencies or data quality concerns.
• Support team initiatives related to data cleanup, standardization, and process improvements.
Qualifications
• Bachelor’s degree in Accounting, Finance, Business, Information Systems, or a related field preferred
• 0–2 years of experience in data management, compliance, research, or professional services operations
• Basic understanding of corporate structures or willingness to develop knowledge in this area
• Experience working with data systems or enterprise platforms preferred
