Job Description:

What you’ll be doing:

SHN Foundation is seeking a detail‑oriented and proactive IT & Data Operations Coordinator to support both technical and data operations. Reporting to the Manager, Data Systems and Reporting, this role provides critical frontline IT coordination and ensures high‑quality data processes are followed that support fundraising, donor engagement, events, and analytics initiatives. This role is a key part of the Foundation’s move towards AI enablement, ensuring we have the strong, reliable data needed for AI and automation success.

You will contribute directly to operational continuity by supporting hardware lifecycle management, staff onboarding/offboarding, and troubleshooting. You will also play a key role in maintaining the integrity of Raiser’s Edge NXT and related systems by performing data entry, list generation, integration checks, and routine data quality work.

Your responsibilities:

IT Support (30%–40%)

Supporting the day‑to‑day technology needs of Foundation staff to ensure seamless operations:

• Provide first-line troubleshooting for hardware, software, and account access issues; escalate and coordinate with SHN IT as needed.
• Maintain an up‑to‑date inventory of hardware, including laptops, cellphone and other devices, accessories, and peripherals.
• Coordinate device purchases and replacements with Manager, Donor Support Services.
• Coordinate updates, and security compliance with the hospital’s IT department.
• Support basic system administration tasks such as password resets, permissions updates, and equipment configuration.
• Ensure continuity and reliability of staff technology resources, helping maintain a secure and productive computing environment.

Data Operations (50%–60%)

Ensuring accuracy, quality, and timely access to fundraising data across the Foundation:

• Perform accurate data entry and updates in Raiser’s Edge NXT and associated platforms.
• Conduct daily integration monitoring, flag and resolve anomalies, and escalate issues as needed.
• Complete routine data quality checks, including duplicate management, cleanup tasks, and execution of a regular schedule of data maintenance.
• Maintain data hygiene standards by following established governance practices and contributing recommendations for improvement.
• Pull lists, queries, exports, and reports for partners across the Foundation (primarily Annual Giving and Event support).
• Support data governance initiatives by helping maintain data definitions, process documentation, and training resources.
• Assist in implementing process improvements, automation opportunities, and consistent data standards across the Foundation.

Onboarding, Collaboration & Customer Service (10%-20%)

• Provide front‑desk reception coverage 1–2 days per week as required, ensuring professional, friendly, and efficient support to visitors and staff, and assisting with general administrative processes.
• Facilitate technology onboarding/offboarding including device setup, configuration, access provisioning, and deactivation and decommissioning process.
• Coordinate onboarding packages and hardware for new staff with Manager, Human Resources-Foundation. Assist new staff with acquisition of badges and parking passes.
• Provide supportive and friendly assistance to staff, donors, walk-ins and volunteers.
• Maintain positive working relationships with SHN IT, external vendors, and internal stakeholders such as data champions and power users.
• Model customer‑service‑oriented problem solving, following the example of the Manager, Data Systems and Reporting.

What you bring to the position:

• Minimum of 1-3 years experience in a similar role.
• Experience with CRM systems (ideally Raiser’s Edge NXT) or other donor databases.
• Education: Diploma or certification in computer systems, hardware repair or data management, or equivalent experience.
• Demonstrated technical aptitude, with the ability to troubleshoot common IT issues.
• High attention to detail, accuracy, and data quality.
• Strong comfort with Excel and working with structured data, lists, and queries.
• Ability to manage competing priorities and maintain accuracy in a fast‑paced environment.
• Clear, friendly communication skills with a helpful and service‑oriented approach.
• Ability to learn new systems, follow procedures, and contribute to process improvements.
• Previous experience in a fundraising or non-profit environment is an asset.
• Ability to work successfully in a hybrid work environment and willingness to be in the office as required based on business needs.
