Who we’re looking for
Toyota’s Cincinnati Regional Office is looking for a passionate and highly motivated Market Representation Administrator. This role involves implementing and overseeing initiatives that bolsters the Region's Market Representation department.
The Market Representation Administrator provides essential administrative and coordination support to the Market Representation department, helping ensure the effective execution of dealer programs, communications, and reporting. The role supports data accuracy, facilitates timely dealer and internal communications, and assists with regional initiatives that strengthen dealer performance, facility compliance, and overall market coverage. In doing so, this position contributes to Toyota’s goal of achieving top-tier market representation—supporting the best dealerships, in the best facilities, in the best markets.
What you’ll be doing:
• Coordinate monthly dealer financial statement communications and submissions and when needed assist dealers with transmission issues and accounting inquiries
• Prepare and publish monthly business management reports
• Create communication of the annual Controller Excellence Award Program
• Coordinate the annual Net Working Capital Agreement process via DocuSign
• Assist in preparing general manager, executive manager, and initial nomination of successor proposals
• Maintain monthly emailing of Dealer Performance Evaluations
• Coordinate the General Manager Evaluation program and publish monthly performance status reports/correspondence and program tracker
• Administer the Vehicle Supplemental Support (VSS) program and communications
• Track, coordinate, and communicate dealership facility projects and initiatives, including Brand Health Check-ups, EV chargers, Solar, and Toyota Energy Solutions.
• Coordinate dealership Grand Opening and Anniversary events
• Communicate the annual Dealer Minimum Facility Standards
• Create dealer performance presentations
• Produce department correspondence: TDA notification letters, TDA Extensions, & Dealer Change Notices
• Maintain the department’s Dealer Daily website
• Perform monthly department budget tracking and ensure compliant use of department PCard
• Order and inventory promotional items
• Maintain accurate department electronic files
• Provide administrative support to department team members
• Participate in departmental meetings and maintain and disseminate department tracking reports
• Support Region initiatives and other departments as necessary
• Problem solving, such as helping controllers diagnose financial statement submission errors or trouble-shooting a data compilation problem
• Prioritizing workload and adapting to a changing, dynamic work environment
• Processing/maintaining a large amount of data/information in a timely manner and with precision/accuracy
• Maintaining/handling confidential and sensitive information
What you bring:
• Associate's degree (or higher) OR equivalent professional work experience.
• Professional experience in a business environment (i.e. administrative, business, operations, analysis).
• Strong organizational skills, attention to detail, follow-up abilities, communicating data to management-level professionals.
• Proficiency with Microsoft Office (Word, PowerPoint, Excel, Outlook).
Added bonus if you have:
• Experience in the franchise automotive field.
• Market Representation/Business Management experience at either the corporate or regional level.
• Paralegal and/or Accounting experience.
