This role is designed for a collaborative professional who thrives in a team environment, supporting both the digital infrastructure and the operational success of CIL3. You will work closely with project managers, academic schools, and external partners to ensure the smooth rollout of system(s) and the effective administration of CET programmes.
[What you will be working on]
Key Responsibilities
System Support & Project Coordination (70% Focus)
• Functional Support: Serve as a key functional point of contact for current industrial collaboration platform, assisting with queries related to workflow approval processes, system health and data integrity.
Development of enhanced/new Industrial Collaboration Platform:
• Requirement Gathering: Assist in translating business objectives into technical specifications and functional requirements for the enhancement of industrial collaboration platform.
• Testing & Rollout: Participate in rollout activities, including UAT coordination, test case preparation, and tracking system issues.
• Procurement Support: Assist the team in preparing procurement documents and supporting the tender process through requirements gathering and evaluation forms.
• Stakeholder Liaison: Coordinate with users, vendors, and internal teams to track progress and ensure reliable follow-ups on project tasks.
• Operational Assistance: Provide first-level support for user queries and log issues for escalation to IT or vendors when necessary.
CET Programme Facilitation & Operations (30% Focus)
• Process Streamlining & Revision: Proactively identify bottlenecks and inefficiencies in CET administration and recommend solutions to enhance operational effectiveness. This includes revising standard operating procedures (SOPs) to ensure they remain lean, actionable, and aligned with evolving organisational needs.
• Workflow Automation: Leverage supported platforms to automate manual CET tasks, reducing administrative overhead and ensuring operational processes run smoothly through digital integration. You will explore ways to use learning technologies or system features to trigger automated notifications, status updates, or grant tracking.
Qualifications & Requirements
• Qualifications in Business, IT, or a related field.
• Proven experience in project coordination, IT support, admin support, or program administration.
• Familiarity with Microsoft Office (Excel, Word, PowerPoint) and collaboration tools like Teams and SharePoint.
• Knowledge of the Singapore CET landscape or adult learning principles is preferred.
